Bookkeeping for small businesses

Proper books for your business, ready at tax time.

Medici is a double-entry ledger for sole proprietors and single-member LLCs. It brings in your bank and card activity, keeps the receipt behind each expense, and maps every account to its Schedule C line, so the year-end numbers come straight from the books.

One ledger for the whole year

Everything below works from the same books, so a bank charge, its receipt and its Schedule C line stay connected instead of living in three places.

  • Double-entry books, mapped to Schedule C

Every entry debits and credits real accounts, and the ledger refuses one that does not balance. Each income and expense account carries its Schedule C line, so the year’s totals by line come straight from the books.

  • Bank and card sync, plus statement import

Connect accounts through Plaid, or upload a CSV, OFX, QFX or QBO statement from your bank. New activity waits in a review queue and reaches the books only when you accept it.

  • Receipts and documents

Photograph a receipt from your phone, or upload invoices, contracts, statements and tax forms, and attach each to the transaction it supports. Files are encrypted before they are stored.

  • Owner reimbursements, under an accountable plan

When you pay a business expense personally, bundle it into a reimbursement and record the payout. Medici stops a payment that is missing a receipt or is more than 60 days old unless you override it.

  • Quarterly estimated taxes

Medici works out each quarter’s estimated payment and due date from year-to-date profit and the income-tax rates you enter, adds self-employment tax, and shows the safe-harbor amounts alongside.

  • 1099 vendor tracking

Keep contractors as vendors and Medici totals what you have paid each one this year, flagging the ones that need a 1099-NEC. Tax IDs are stored encrypted and shown masked.

  • Capital accounts

Record owner contributions and distributions, and get the year’s capital rollforward, with net income taken from the ledger rather than typed in.

  • A tamper-evident audit trail

Every change is written to a hash-chained audit log in the same database transaction as the change itself. Log entries cannot be edited or deleted, and re-checking the chain shows whether anything was altered.

From bank feed to tax return

  1. 01

    Bring activity in

Bank and card transactions arrive through Plaid or a statement upload, and receipts from your phone or computer.

  2. 02

    Review and post

Accept each item into the right account. Rules can pre-fill the category; nothing is posted until you say so.

  3. 03

    Report from the books

Profit and loss, balance sheet, cash flow and the Schedule C rollup are all built from the same ledger.
